About these documents. “WVW,” “we,” “us,” and “our” mean Wholistic Vibes Wellness LLC™, including WVW Academy when applicable. These policies apply to this website, public programs, and direct interactions with WVW unless a signed agreement, proposal, enrollment agreement, course notice, or law provides different terms. When terms conflict, the more specific written agreement controls for that service.

This Privacy Policy explains what information WVW collects, why we collect it, how we use and protect it, and the choices available to you.
This policy applies when you visit our website, submit a consultation or contact form, register for an event or training, apply to or participate in WVW Academy, subscribe to communications, complete an evaluation, enter into a client relationship, or otherwise interact with WVW. A client contract, enrollment agreement, learning platform, event platform, or third-party service may provide an additional privacy notice for that interaction.
Depending on how you interact with us, we may collect:
We collect information directly from you; from an organization registering or sponsoring you; automatically through our website host and essential technologies; and from service providers used for forms, email, scheduling, payment, video conferencing, course delivery, or event administration. We may also receive professional contact information from public sources or referrals when relevant to a legitimate business inquiry.
We use information to respond to inquiries; assess service fit; deliver consulting, training, events, and Academy programs; process registration and payment; provide course materials and completion records; communicate schedule or policy changes; provide requested accommodations; maintain security; prevent fraud or misuse; improve our services; comply with law and contractual obligations; establish or defend legal claims; and send communications you requested or that are otherwise permitted by law.
We do not sell personal information for money. We do not use personal information for third-party targeted advertising. If our practices change, we will update this policy and provide any choices required by applicable law.
We may share information only as reasonably necessary with:
We do not authorize service providers to use WVW information for their own unrelated purposes. Third-party sites and platforms have their own privacy practices.
We retain information only as long as reasonably necessary for the purpose collected, including service delivery, academic or credential records, financial and tax obligations, contract administration, dispute resolution, safety, and legal compliance. Retention periods vary by record type. When information is no longer needed, we take reasonable steps to delete, de-identify, or securely dispose of it. Backup copies may remain for a limited period before routine deletion.
We use reasonable administrative, technical, and organizational safeguards appropriate to the size and nature of our operations. These may include access limitation, account authentication, reputable service providers, secure transmission where supported, data minimization, and periodic review. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we identify a breach requiring notice, we will respond in accordance with applicable law.
You may ask to access, correct, or delete personal information; object to or restrict certain uses; withdraw consent where processing depends on consent; or unsubscribe from marketing email. These rights depend on your location, the context, and applicable law. We may need to verify your identity and may retain information when required for legal, credentialing, contractual, safety, or recordkeeping reasons. You may use an authorized agent where law permits.
To make a request, email us with the subject “Privacy Request” and describe the request and your relationship with WVW. We aim to acknowledge requests promptly and respond within the period required by applicable law. We will not discriminate against you for exercising a legally protected privacy right.
Our general website and organizational consulting services are not directed to children under 13. We do not knowingly collect personal information online from a child under 13 without appropriate authorization. A youth-focused program may collect limited participant information through a separate registration process with parent, guardian, school, or sponsoring-organization involvement as required. Contact us if you believe a child submitted information improperly.
Our website may link to platforms we do not control. Their privacy policies govern their services. WVW is based in Maryland, United States, and information may be processed in the United States or other locations where our providers operate. If you access the site from another jurisdiction, you understand that data protections may differ, subject to rights that cannot lawfully be waived.
We may update this policy to reflect operational, legal, or technology changes. The effective date at the top of this page identifies the current version. These Terms govern access to and use of WVW websites, resources, and public digital content. By using them, you agree to these Terms.
The website provides general information about WVW, organizational wellness, leadership, psychological safety, community health, Mental Health First Aid, and educational programs. Website use does not create a client, instructor–student, fiduciary, therapeutic, medical, legal, or other professional relationship. A service relationship begins only through an accepted registration, enrollment agreement, signed proposal, contract, or other written confirmation from WVW.
You may use the website for lawful, personal, educational, and legitimate business purposes. You may not interfere with site operation or security; attempt unauthorized access; introduce malicious code; scrape or harvest information in a manner that burdens the site or violates law; impersonate another person; submit false or harmful material; use the site to harass or discriminate; or use WVW content to train, benchmark, or populate an artificial intelligence system without written permission.
The website and its original text, frameworks, graphics, course materials, downloads, branding, audio, video, and design are owned by or licensed to WVW and are protected by applicable intellectual property laws. Wholistic Vibes Wellness LLC™, WVW Academy, Healing Infrastructure. Systems over Vibes.™, and named WVW frameworks may be protected marks or proprietary identifiers.
Unless a resource states otherwise, WVW grants you a limited, revocable, nonexclusive, nontransferable license to view and print website content for your own noncommercial use. You may not reproduce, sell, modify, distribute, publish, record, create derivative training, remove attribution, or present WVW content as your own without written permission. Client and Academy materials may be subject to additional license terms.
You retain ownership of content you submit. You grant WVW permission to use, store, reproduce, and share that content only as reasonably necessary to respond, provide the requested service, administer a program, maintain records, or comply with law. You represent that you have authority to provide the content and that it does not violate another person’s rights. Do not submit confidential employer information, protected health information, or another person’s sensitive information unless authorized and necessary.
Links to external sites, tools, social networks, podcasts, payment services, or course platforms are provided for convenience. WVW does not control and is not responsible for third-party content, availability, security, accessibility, terms, or privacy practices. A link does not necessarily imply endorsement.
Purchases and registrations are also governed by the applicable offer, invoice, proposal, enrollment agreement, Payment Policy, Refund, Cancellation & Transfer Policy, and program rules. You are responsible for providing accurate information and meeting stated deadlines. WVW may refuse or cancel a registration for nonpayment, ineligibility, capacity, safety, misconduct, error, or other legitimate operational reason, subject to applicable refund obligations.
WVW does not provide crisis response, diagnosis, treatment, or individual medical or mental health advice through this website. Do not use the website, forms, email, classes, or social media to request emergency help. In an immediate emergency, contact 911 or the appropriate local emergency service. In the United States, you may call or text 988 for the Suicide & Crisis Lifeline.
We may update, suspend, or discontinue website features or content without notice. We aim for accurate, useful information but do not promise uninterrupted access or that every item is complete, current, or error-free. Published dates, instructors, curricula, pricing, and availability may change until confirmed in writing.
To the fullest extent permitted by law, the website is provided “as is” and “as available,” without warranties of merchantability, fitness for a particular purpose, noninfringement, or a guaranteed outcome. WVW is not liable for indirect, incidental, special, consequential, or punitive damages arising from website use. Where liability cannot be excluded, WVW’s aggregate liability related solely to website use will not exceed the amount you paid WVW for the specific digital item giving rise to the claim, or $100 if no amount was paid. These limits do not apply where prohibited by law or to liability that cannot lawfully be limited.
To the extent permitted by law, you agree to defend and indemnify WVW and its owners, personnel, and contractors from third-party claims arising from your unlawful use of the website, your submitted content, or your material violation of these Terms. This provision does not require indemnification for WVW’s own unlawful conduct.
These Terms are governed by the laws of the State of Maryland, without regard to conflict-of-law principles. Before filing a non-urgent dispute related to website use, each party agrees to send written notice and make a good-faith effort to resolve the matter informally for 30 days. Unless a specific written agreement says otherwise, claims shall be brought in a court with jurisdiction in Maryland. Nothing in these Terms prevents either party from seeking emergency injunctive relief or using a forum required by law.
If a provision is unenforceable, the remaining provisions remain effective. Failure to enforce a provision is not a waiver. This policy sets baseline terms for public registrations and service reservations. A signed client agreement, enrollment agreement, event listing, or program notice may provide different terms and controls when it does.
Registration secures capacity, preparation time, materials, instructor availability, and administrative support. Refund eligibility is calculated from the written cancellation request received by WVW, not from the date a participant stops attending. Approved refunds are returned to the original payment method when practicable. Processing and third-party transaction fees may be nonrefundable where permitted and disclosed.
Because Mental Health First Aid courses may require advance participant registration, licenses, digital coursework, manuals, and instructor preparation, MHFA-specific terms apply. A cancellation received 14 or more calendar days before the instructor-led session is eligible for a refund less any nonrecoverable course, license, manual, shipping, or processing cost already incurred for that participant. A cancellation 7–13 days before the session is eligible for a 50% refund of the recoverable portion or one transfer when WVW can reassign the registration. Cancellations fewer than 7 days before the session, incomplete required pre-work, late arrival beyond the permitted threshold, no-shows, and incomplete attendance are nonrefundable. Certification or completion is not guaranteed.
Academy tuition, deposits, withdrawal, administrative fees, and refunds are governed first by the enrollment agreement and program-specific tuition schedule provided for the applicable cohort. Unless that agreement states otherwise, an application fee or seat deposit identified as nonrefundable remains nonrefundable; a student who cancels before the first scheduled class may request return of tuition paid beyond the nonrefundable amount; and no tuition refund is available after 20% of scheduled instructional hours have occurred. A student dismissed for conduct or integrity violations is not automatically entitled to a refund. WVW will honor any greater refund right required by applicable law.
Consulting, speaking, facilitation, and private training are governed by the signed proposal or services agreement. Unless it states otherwise, a client-requested cancellation more than 30 calendar days before delivery may be rescheduled once without a new cancellation fee, subject to availability; cancellation 15–30 days before delivery may result in a fee equal to 50% of the remaining engagement amount; and cancellation fewer than 15 days before delivery may result in the full remaining amount becoming due. Nonrecoverable travel, venue, licensing, shipping, subcontractor, and preparation costs remain payable. Scope changes may require a revised fee and timeline.
A permitted transfer must be requested in writing, used by the same participant within 12 months, and applied to a comparable program with available capacity. A price difference remains due; unused value is not paid out. Transfers are not transferable again and have no cash value. Participant substitutions require advance approval and completion of all eligibility, registration, pre-work, and confidentiality requirements. Course-owner or credentialing rules may prohibit substitutions.
WVW may cancel, postpone, change format, replace a facilitator with a comparably qualified facilitator, or adjust reasonable program details because of low enrollment, illness, severe weather, safety concerns, technology failure, venue issues, force majeure, or other circumstances outside reasonable control. If WVW cancels and does not offer a reasonable rescheduled option, registrants receive a refund of fees paid directly to WVW for the affected program. WVW is not responsible for separate travel, lodging, wage, childcare, or other participant expenses unless a written agreement says otherwise.

WVW delivers Mental Health First Aid courses with respect for participant wellbeing and the fidelity requirements of the authorized curriculum.
Mental Health First Aid (“MHFA”) is an educational program and does not provide a clinical license, diagnosis, therapy, crisis response service, or authorization to practice healthcare. Curriculum, participant materials, technology, completion requirements, and certification status may be controlled by the National Council for Mental Wellbeing, Mental Health First Aid USA, or another authorized program owner. Their current requirements apply in addition to this policy and control where necessary to preserve program authorization.
Participants must register by the stated deadline using accurate, unique contact information and must complete any required consent, profile, accessibility, or course-platform steps. A seat is not confirmed until WVW sends confirmation and any required payment is received. Registrations may not be shared. WVW may provide participant information to the authorized MHFA system as necessary for course administration and completion records.
Participants must meet the age, audience, and prerequisite requirements of the specific MHFA course. An employer or sponsoring organization is responsible for selecting appropriate participants but may not require an individual to disclose a diagnosis or personal mental health history to WVW. A participant needing help determining course fit may contact WVW privately before the registration deadline.
Some courses include self-paced coursework, technical checks, reading, or other preparation before the live instructor-led session. Required pre-work must be completed by the communicated deadline. Failure to complete it may make the participant ineligible to attend or receive completion status and is treated as a late cancellation. Participant manuals, links, access codes, and course materials are for the registered participant only and may not be copied, posted, sold, or shared.
Participants must attend the complete instructor-led course and return promptly from breaks. WVW cannot guarantee completion status to anyone who arrives late, leaves early, misses required activities, or is unable to participate for the required duration. The facilitator applies the authorized curriculum’s attendance rules consistently and documents completion based on observed participation and required course records.
Virtual participants are responsible for a stable internet connection, compatible device, working audio, a private or appropriately quiet location, and the ability to participate in required activities. Cameras may be requested when reasonably needed to confirm attendance and engagement, but WVW considers disability, bandwidth, privacy, religious, caregiving, and other legitimate concerns. Contact the facilitator in advance when camera use presents a barrier so an appropriate alternative can be considered without undermining course requirements. Driving or performing unsafe competing tasks during class is prohibited.
MHFA includes discussion of mental health, substance use, suicide, trauma, and crisis. Participants may step away briefly for wellbeing, but missed required instruction may affect completion. No participant is required to disclose personal experiences. Participants must protect the privacy of personal stories shared in class, avoid recording, use respectful language, refrain from diagnosing others, and follow facilitator directions. Confidentiality is a shared expectation, not an absolute guarantee, because WVW cannot control every participant’s conduct.
The course is not a crisis service. If a participant expresses an imminent risk of serious harm, reports suspected abuse or neglect subject to a legal reporting duty, or creates an immediate safety concern, WVW may pause participation and contact emergency services, a designated organizational contact, or another appropriate resource. WVW shares only information reasonably necessary under the circumstances.
WVW may warn, mute, remove, or decline completion status for conduct that is threatening, discriminatory, harassing, persistently disruptive, unsafe, deceptive, or materially inconsistent with course integrity. Removal for misconduct does not create an automatic right to a refund. WVW seeks proportionate, trauma-aware responses and considers repair when safe and appropriate.
Request accommodations as early as possible and preferably at least 10 business days before the live session so WVW can coordinate with the participant, sponsor, venue, platform, and curriculum owner. Late requests are considered in good faith but may require transfer to a later session if an effective accommodation cannot be arranged in time. An accommodation does not waive essential course or credential requirements.
Attendance alone does not guarantee certification, a certificate, continuing education credit, or employer acceptance. Completion depends on all applicable pre-work, attendance, participation, evaluation, and program-owner requirements. Names may need to match the participant’s course-platform account. WVW may retain attendance and completion records and may correct administrative errors. Questions or appeals should be submitted in writing within 10 business days after the session.

This policy explains WVW’s baseline payment expectations. A signed agreement, invoice, enrollment agreement, or checkout page may establish more specific terms.
Prices are stated in U.S. dollars unless identified otherwise. Public prices, quotes, and proposals may change before acceptance. A proposal is valid only for the period stated in it. Applicable taxes, shipping, travel, venue, licensing, customization, rush work, and third-party expenses may be added when disclosed or authorized. A typographical or system error does not require WVW to honor an obviously incorrect price; we will offer correction or cancellation.
Payment is due by the date shown on the invoice or registration page. Unless a written agreement states otherwise, organizational engagements require a nonrefundable reservation deposit of 50% upon signing, with the remaining balance due 15 calendar days before the first delivery date. Work may pause and dates are not held until required signatures and payments are received. WVW Academy payment schedules are stated in the applicable enrollment agreement.
Accepted payment methods are listed on the invoice or payment page and may include electronic payment, card, ACH, or another approved method. Third-party processors handle payment credentials under their own terms and privacy practices. You authorize WVW and its processor to charge the approved amount. You are responsible for accurate billing information, sufficient funds, bank charges, currency conversion, and any legally applicable tax-exemption documentation.
A purchase order or vendor onboarding process does not replace a signed WVW agreement or change WVW’s terms unless WVW expressly accepts the change in writing. Organizations should disclose procurement timelines before reserving a date. Internal approval delays do not automatically extend payment deadlines.
If payment is late or fails, WVW may suspend access, registration, materials, deliverables, scheduling, completion records, or further work after reasonable notice. Where permitted by law and stated on the invoice or agreement, overdue balances may accrue a late charge of 1.0% per month or the maximum lawful rate, whichever is lower. The purchaser is responsible for reasonable collection costs caused by an uncured default. WVW may waive a charge without waiving future enforcement.
A payment plan is available only when confirmed in writing. Missing an installment may make the remaining balance immediately due, suspend participation, or cancel the plan, subject to applicable law and any agreed cure period. Payment plans do not change the total price or refund calculation unless the written plan states otherwise.
Contact WVW promptly if an amount appears incorrect. Before initiating a chargeback, please give us a reasonable opportunity to investigate and correct a billing error. A chargeback does not cancel contractual obligations. WVW may provide the processor with relevant registration, attendance, delivery, and communication records when responding to a disputed transaction.
Refunds and credits are governed by the Refund, Cancellation & Transfer Policy and any service-specific written terms. Credits are not cash, are not transferable unless approved, and expire on the date stated in the approval or 12 months after issuance if no date is stated. WVW is committed to making its website, communications, programs, and services usable by people with disabilities and to addressing barriers with care and accountability.
We work toward substantial conformance with the Web Content Accessibility Guidelines (WCAG) 2.2 Level AA for content and functionality within our control. Accessibility is an ongoing practice, not a one-time certification. We consider keyboard access, readable structure, color contrast, text alternatives, captions or transcripts where appropriate, form labels, responsive layouts, plain-language support, and compatibility with common assistive technologies.
Some third-party platforms, linked documents, archived media, user-generated content, or vendor tools may not fully meet our target. We do not control every third-party experience, but we consider accessibility when selecting providers and seek an alternate way to provide essential information or service when reasonably possible.
WVW provides reasonable accommodations for qualified participants and does not require unnecessary disclosure of a diagnosis. Depending on the setting and request, options may include accessible digital materials, captioning, alternate formats, communication support, adjusted participation methods, accessible venue coordination, additional breaks, or another effective arrangement. Essential learning outcomes, safety requirements, and third-party credential standards remain applicable.
For a website barrier, include the page address, a description of the problem, the assistive technology or browser used if relevant, and the format or outcome you need. For a program accommodation, contact us as early as possible and preferably at least 10 business days before the event. We consider later requests in good faith but may need additional time or a transfer when an effective solution cannot be arranged immediately.
We aim to acknowledge accessibility messages within two business days. We may ask limited questions needed to understand the barrier or identify an effective accommodation. We protect accommodation information as private and share it only with people who need it to coordinate access, safety, or legal compliance. Retaliation for a good-faith accessibility request or complaint is prohibited.

This policy explains cookies and similar technologies that may be used when you visit WVW websites.
Cookies are small text files stored by a browser. Similar technologies include local storage, pixels, tags, and server logs. They can remember preferences, support security, deliver requested features, measure performance, or connect activity to a third-party service.
The WVW website is designed to operate with minimal tracking. Our website host and security infrastructure may process essential device and request information needed to deliver pages, prevent abuse, balance traffic, or diagnose errors. The site loads web fonts from Google Fonts; that request may provide Google with technical information such as your IP address, browser, and the requested font files. Embedded or linked third-party services may use their own technologies after you interact with them.
You can use browser settings to delete or block cookies, limit cross-site tracking, or clear local storage. Blocking strictly necessary technologies may prevent forms or other features from working. Controls on an external platform must be managed through that platform. Where law requires consent before a nonessential technology is used, WVW will provide an appropriate choice mechanism before activating it.

Website articles, downloads, events, social posts, presentations, podcasts, and training descriptions are provided for general educational purposes. They cannot account for every person, workplace, law, clinical circumstance, or organizational duty. You remain responsible for professional judgment and for consulting qualified advisers who understand your situation.
WVW does not diagnose or treat mental health or substance use conditions through the website, consulting services, MHFA courses, or Academy content. A discussion of warning signs, supportive conversation, workplace wellbeing, or referral resources is not a diagnosis or treatment recommendation. Participation does not replace care from a licensed professional.
WVW does not monitor website forms, email, course chats, or social media continuously and cannot provide emergency response. Training and consulting can support better systems but cannot guarantee a particular culture, legal compliance, employee outcome, funding result, certification, promotion, employment result, or absence of harm. Organizations remain responsible for their policies, employment decisions, safeguarding duties, reporting obligations, accommodations, emergency procedures, and compliance with applicable law.
We make reasonable efforts to present accurate and evidence-informed information as of publication, but knowledge, laws, resources, and third-party programs change. We do not warrant that public content is complete or current. References to an organization, study, product, service, or external link do not necessarily constitute endorsement, and WVW is not responsible for external content.

This policy protects participant privacy, psychological safety, intellectual property, and informed choice in WVW programs and media.
Participants may not audio record, video record, photograph, screenshot, transcribe with an automated tool, livestream, or distribute any private training, consultation, Academy class, meeting, chat, slide, participant image, or personal story without advance written permission from WVW and all identifiable people. An approved accessibility accommodation may permit a limited personal recording under separate confidentiality and deletion terms.
WVW does not treat registration or attendance alone as consent to promotional recording. When WVW plans to record, we will provide notice describing the purpose, expected audience, and available participation choices. Depending on the setting, consent may be obtained through a release, registration choice, on-camera confirmation, posted event notice, or agreement with an organizational client.
When reasonably practicable, a person who does not want to appear in a recording may keep a camera off, use a designated seating area, omit a display name, submit questions privately, or access a non-recorded alternative. For a production where appearance is essential, WVW will make that condition clear before participation. Declining optional promotional use will not affect access to unrelated WVW services.
Breakout rooms, personal reflections, coaching discussions, accommodation conversations, and sessions identified as confidential are not recorded unless every affected person gives specific permission and recording is appropriate. WVW may pause or edit a recording to protect private, identifying, copyrighted, unsafe, or off-topic content.
WVW owns recordings it creates, subject to participant publicity and privacy rights and any contract. A release may allow WVW to edit, caption, reproduce, publish, and distribute the approved material for stated educational, archival, or promotional purposes. WVW will not knowingly use a person’s likeness in a materially misleading manner. Raw footage is retained only as long as reasonably needed for editing, records, or the approved purpose.
WVW requests permission before publishing an identifiable testimonial, case study, or participant story. Organizational results may be described in aggregate or de-identified form where allowed by contract. Consent may be withdrawn for future uses by written request, but withdrawal may not remove materials already lawfully printed, distributed, archived, or incorporated into a completed work.
Public speaking appearances, interviews, podcasts, livestreams, conferences, and press events may be recorded by hosts or attendees under the host’s rules. Unauthorized recording or distribution may result in removal, loss of access, a takedown request, disciplinary action, or legal remedies. A good-faith concern about an image or recording should identify the material and requested resolution so WVW can review it promptly.

This policy explains the communications you may receive from WVW and the standards that govern our email, text, and community interactions.
When you inquire, register, enroll, purchase, or contract with WVW, we may send communications needed to respond or deliver the service. These can include confirmations, invoices, reminders, access links, schedule or venue changes, pre-work, safety notices, policy updates, completion records, and direct replies. These messages are not marketing and may continue while needed to administer the relationship.
With consent or another lawful basis, WVW may send event announcements, resources, program updates, and service information. You can unsubscribe through the message link or by replying with a clear request. We may retain limited suppression information so we do not re-add an unsubscribed address. Unsubscribing from marketing does not stop essential service messages.
If WVW offers text reminders, enrollment requires the consent described at sign-up. Message frequency varies, and message and data rates may apply. Consent to marketing texts is not a condition of purchase. Reply STOP to opt out and HELP for help when those commands are supported. Carriers are not responsible for delayed or undelivered messages.
Ordinary email and text are not guaranteed secure. Do not send Social Security numbers, full payment credentials, medical records, passwords, or unnecessary sensitive information. A message intended for another recipient should not be copied, used, or distributed; notify the sender and delete it. WVW may use a secure platform or alternate process for sensitive documents.
WVW generally aims to respond to business inquiries within two business days, but response time is not guaranteed. Messages are not monitored continuously. Email, text, direct messages, and website forms must not be used for emergencies or crisis support. Use emergency or crisis resources described in the Website Disclaimer.
WVW welcomes questions, disagreement, feedback, and good-faith complaints. Communications must not include threats, harassment, discrimination, doxxing, repeated unwanted contact, malicious files, impersonation, or unlawful content. WVW may limit or end communication, preserve evidence, contact an organization or authority, or take other proportionate action when needed for safety and operations.
A sponsoring organization must have authority to provide participant contact information and should tell participants how it is used. WVW uses blind copy, private registration, or another reasonable method when a group list should not be exposed. Participants should not use a WVW distribution list for unrelated solicitation.
Public comments and direct messages on third-party platforms are governed by this policy and the platform’s rules. WVW may moderate content that is unsafe, discriminatory, deceptive, spam, confidential, or unrelated. Social media engagement does not create a professional relationship or guarantee a private response.
To update your email address, correct a communication preference, or report a message that appears fraudulent, contact tianalynn@wholisticvibeswellness.com. WVW will never ask you to send a password or full payment-card number by email.

Our use of artificial intelligence and automated tools is guided by necessity, proportionality, privacy, security, accessibility, fairness, transparency, human review, and respect for intellectual property. We do not present machine output as professional expertise without meaningful human evaluation.
WVW may use technology-assisted tools for low-risk administrative and creative support, such as brainstorming, outlining, proofreading, formatting, meeting logistics, accessibility support, summarizing nonconfidential material, analyzing de-identified feedback, or improving internal workflows. A responsible person remains accountable for checking accuracy, context, bias, tone, citations, confidentiality, and fitness for purpose before use.
WVW personnel and contractors must not enter confidential client information, identifiable participant records, protected health information, payment credentials, passwords, accommodation documentation, unpublished student work, or other sensitive data into a public or unapproved AI system. Any approved system must be evaluated for access controls, retention, training use, contractual protections, and the minimum data necessary.
WVW does not use AI as the sole decision-maker for Academy admission, student discipline, course completion, employment, instructor selection, accommodation approval, pricing eligibility, or another decision with a significant effect on a person. Technology may support organization or review, but an accountable human considers relevant context and can correct errors.
When AI materially contributes to a client deliverable, learning activity, synthetic image, assessment process, or communication in a way a reasonable recipient would not expect, WVW seeks to provide context appropriate to the use. Minor spelling, formatting, transcription, or administrative assistance may not be individually labeled. Contractual client restrictions control and should be discussed before confidential work begins.
AI can produce inaccurate, fabricated, biased, culturally incomplete, or harmful outputs. WVW does not rely on an AI output as a source of truth about a person’s mental health, identity, credibility, intent, academic integrity, or workplace performance. Claims used in professional materials should be checked against reliable sources, and sensitive content receives additional human review.
Participants may use AI only as permitted by the applicable assignment, instructor, client, or program rules. Unless expressly authorized, a participant may not use AI to complete an assessment intended to demonstrate individual competence; fabricate sources, attendance, fieldwork, or experience; upload confidential course or client content; impersonate another person; or submit generated work as entirely original. When AI assistance is allowed, participants must preserve required citations, disclose material use when requested, verify the output, and remain responsible for the final work.
AI meeting assistants, transcription bots, automated notetakers, facial analysis, emotion recognition, and similar tools may not join or process a WVW session without advance authorization and participant notice. Authorization depends on purpose, consent, confidentiality, accessibility, data use, retention, and whether a less intrusive method is available.
WVW respects creator rights and does not knowingly use private client materials, participant work, or proprietary course content to train an external model without authorization. Users may not upload WVW’s proprietary materials to an AI service or use them to create a competing course, derivative framework, synthetic facilitator, or public dataset without written permission.
Technology changes quickly. WVW reviews this statement as tools, risks, laws, and professional expectations evolve. Concerns about an automated tool, suspected error, or request for human review may be sent to tianalynn@wholisticvibeswellness.com. Good-faith concerns are reviewed without retaliation.
